Primary Responsibilities

  • Input guest and client data into CRM in real time – back up to Housing Consultant
  • Enter reservation requests into CRM in real time – back up to Housing Consultant
  • Perform scheduled guest follow up calls and emails
  • Schedule all tasks in Oscar to the appropriate departments in a timely manner
  • Email guest confirmation letters
  • Handle guest issues and follow up to ensure guest satisfaction
  • Email/Call in work orders to properties and dispatch that come from guests/clients while in housing
  • Confirm guest departure dates
  • Back up Reception phones
  • Primary back up to Housing Consultants during time off

Additional Responsibilities

  • Reservations Inbox coverage – rotation
  • Follow up with guests to update credit card information as needed
  • Assist with RFP research and data entry as needed/requested from Supply Chain Manager
  • Participate in weekend/evening orientation for high volume guest arrival dates (seasonal)
  • Maintain organized clean work environment
  • Attend and participate in scheduled meetings
  • Assist with additional overflow duties or projects
  • Due to the seasonal/cyclical nature of our business, employees are asked from time to time to help out in other departments and work overtime during various times throughout the year

Knowledge, Skills and Qualifications

  • Must be organized, self-motivated, and have the ability to multitask and be a detail oriented person who can work in a fast paced environment
  • Minimum typing fluency of 50 wpm
  • Must posses strong communications and interpersonal skills
  • Must have outstanding customer service and telephone skills
  • Must posses strong teamwork values

Education, Training and Certification

  • General knowledge of MS Windows, Office and Outlook required
