Primary Responsibilities

  • Maintains office services by organizing office operations and procedures.
  • Prepare operational reports and schedules to ensure efficiency.
  • Coordinate schedules, appointments and bookings as needed for Broadway Plaza office staff.
  • Monitor and maintain office supplies inventory.
  • Handle customer inquiries and complaints and control correspondence to the guests.
  • Coordinate office staff activities to ensure maximum efficiency. This would include any training of operating systems.
  • Ensure filing systems are maintained and current.
  • Establish and monitor procedures for record keeping to ensure security, integrity and confidentiality of data.

Additional Responsibilities

  • Open/Close office daily.
  • Daily accounting procedures to include cash handling, daily deposit, crediting accounts, settling cash/credit transactions, and running Prebilling Report to assure accuracy.
  • Review daily statistics of operations to include sending daily report to General Manager.
  • Parking ramp card tracking.
  • Weekly accounting procedures to include accounts receivable and payables, vendor accounts, invoice data entry, coding of invoices and submitting to the corporate accounting office, filing of check copies, follow-through/calling on all vendors regarding invoices/W-9 forms and billing of commercial accounts.
  • Operations of unfurnished apartments (Leases, Billing, Utilities).
  • Monthly reporting to Broadway Plaza parent company

Knowledge, Skills and Qualifications

  • Experience and knowledge as an Office Manager and/or Administrative Assistant.
  • Proficiency in MS Office.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Knowledge of accounting, data and administrative management practices and procedures.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.

Education, Training and Certification

  • 4 year college degree preferred, but not required
